Regulation 21 for Security Companies

The problem, stated plainly

Every armed officer you employ needs a current Regulation 21 re-assessment, and each one expires on its own date, twelve months after it was issued. With twenty officers you are managing twenty separate expiry dates, and they do not expire conveniently in a batch.

What happens in practice is that one lapses without anyone noticing, that officer keeps working an armed post, and the gap is found by an inspection rather than by you.

What an inspector asks for

A current Regulation 21 certificate for each armed officer, matched to the type of firearm that officer actually carries. A handgun assessment does not cover an officer posted with a shotgun.

Note what is not required: a SETA Statement of Results. Regulation 21 lists unit standards but is not an award against them, so no Statement of Results is issued for it. The certificate is the document.

Book the team, not the individuals

The practical fix is to stop treating Regulation 21 as twenty separate personal errands and start treating it as one company booking. Pick a Thursday, send the group, and bring the expiry dates back into alignment.

Getting ahead of the dates

Book the re-assessment a month before expiry rather than a week after it. A certificate that expires on a Thursday and is re-done the following Thursday leaves a week in which an armed officer was working without one, and that week is exactly what an inspection finds.

Keep one list, with one date per officer per firearm type, and work a month ahead of the earliest.

How many people can you assess in one Thursday?

It depends on firearm types and range capacity. Give us your numbers when you enquire and we will tell you honestly whether it is one Thursday or two.

Is there a discount for groups?

Yes — a discount can be arranged for companies bringing more than 10 participants.

Does an officer need a separate assessment per firearm type?

The assessment must cover the firearm the officer actually carries on duty. An officer who carries both a handgun and a shotgun needs both covered.

What if a certificate has already expired?

Book the re-assessment immediately and, until it is done, that officer should not be working an armed post. It is a bad week; it is a much worse inspection finding.
